Construction Administrator

JOB SUMMARY: To further the mission of Habitat for Humanity of Kansas City through efficient processing, documentation and support of construction-related activities.


RESPONSIBILITIES: (including but not limited to the following)

  • Assist VP of Construction in establishing, implementing and maintaining standard procedures and practices to streamline the construction process and related activities.
    • Assist if needed in the development of construction build schedule
    • Develop RFP’s and plan specifications, assist with developing material packages and takeoffs
    • Apply for all necessary building permits
    • Modify house plans as needed (Revit, ArchiCAD)
    • Coordinate and manage the bid process; including the awarding of contracts
    • Prepare and manage contracts for all construction subcontractors and material suppliers
    • Verify and document that all subcontractors (paid and in-kind) meet established criteria (W9, insurance, lien waivers)
    • Review and approve all invoices submitted for payment through the construction account
    • Coordinate public utilities
  • Manage all construction project documentation.
    • Bid lists
    • Awarded contracts
    • Ordering and documenting In-kind donations as related to construction.
    • Coordinate Energy Star inspections and certifications
  • Coordinate the In-kind Program (HFHI and local)
    • Ordering in-kind materials from the HFHI website in a timely manner
    • Coordinate receipt of in-kind materials or subcontracted work
    • Document all in-kind donations as they are received
  • Develop/Track Homeowner related documentation
    • Closing/Punch List checklist development
    • Homeowner Service Requests
    • Produce a Homeowner’s Manual inclusive of the following information:
      • Warranty Information and documents
      • House specific information
      • Information deemed necessary by VP of Construction or Family Services Director
  • Construction Grant Management
    • Coordinate with Development department for all necessary information required for grant applications and grant reporting
  • Other duties as assigned.


 General Requirements:

An overall understanding of basic accounting, cost estimating and bidding procedures; Familiar with CAD software; good written and verbal communication skills, well organized and detail-oriented; willingness to work as part of an overall team and the ability to work a flexible schedule including some evenings and weekends.
