Administrative Coordinator
Full-time: 40 hours per week (Monday – Friday 8 am – 4:30 pm)

JOB SUMMARY: The Administrative Coordinator is an integral part of the affiliate providing general office oversight and administrative office support.
General Operations
- Knowledgeable in every area of Habitat KC
- Assist in efficient operation of Habitat KC office
- Receive and screen visitors and/or telephone calls, providing general and detailed information regarding Habitat for Humanity of Kansas City’s programs, skillfully handle complaints and requests before referring specific calls to department staff
- Manage all mail to include incoming and outgoing, overnight mail and messenger services
- Assist all departments in promotion of Habitat for Humanity of Kansas City events and promotions
- Maintain office supplies, toner cartridges, paper, etc
- Complete and coordinate efficient action in passing on of communications, memos, faxes, messages, etc
- Establish, organize and maintain archive files
- Maintain supplies of coffee, soda, kitchen, and restroom supplies
- Manage cleaning company and office cleanliness
- Travel arrangements for all personnel – airline, hotel, rental cars
- Schedule staff and management meetings
Executive Director
- Schedule and maintain appointment calendar
- Notify Board members and staff of upcoming meetings or changes in calendar
- Coordinates preparation for Board meetings, including packet and catering
- Special projects and other duties, as requested
Human Resources
- Maintain strong working knowledge of Habitat for Humanity of Kansas City’s policies.
- Establish good business relationships with all employees, supervisors and other departments.
- Assist in creating and implementing new policies for Habitat for Humanity of Kansas City.
- Maintain working knowledge of Human Resources regulations and benefit offerings; assist with questions as needed.
- Maintain all applications, resumes, and inquiries with regards to any open positions.
- Place employment ads when needed utilizing various resources.
- Assist new employees with online forms in Paylocity system and conduct new employee orientation as needed.
- Set screening appointments for new hires.
- Prepare employee file for each new hire.
- Update and maintain employee contact list in Excel.
- Special projects and other duties, as requested.
QUALIFICATIONS, EDUCATION AND EXPERIENCE:
- Associates degree (A.A.) or equivalent combination of education and experience
- Secretarial or office management skills required, Type 50-60 wpm
- Ability to format, edit, revise, proofread or create reports, agreements, agendas, contracts or tables
- Commitment to Habitat KC’s housing ministry goals
- Strong attention to detail and ability to maintain complete confidentiality of records
- Ability to work independently with self-directed priorities and to work as part of a team
- Ability to relate to people of different races, faiths, and income levels.
- Excellent computer skills, proficiency in Word and Excel
- Excellent telephone etiquette
- Ability to multi-task, with excellent time management skills and follow-through
- Ability to work with volunteers, board members, staff, committees, homeowners and general public
- Ability to maintain composure and a positive attitude when dealing with difficult callers or visitors
- Demonstrate compassion and professionalism in all interactions with the public
